Job Summary

To support international order processing by preparing invoices and export documentation, maintaining accurate purchasing and inventory data, and coordinating production, shipments, and communication with manufacturers and foreign distributors.
 

Responsibilities and Duties

  •   Prepares and coordinates invoices and export documentation for foreign distributors.
  • Assists in daily correspondence with overseas manufacturers and distributors.
  • Maintains accurate production, pricing, packing and CBM information for all products.
  • Maintain purchase orders for USA and foreign distributors to ensure on time production with factories.
  • Order entry.
  • Assists in coordinating shipment from USA to foreign distributors.
  • Researches and analyzes production issues.
  • Regularly proofreads and/or reviews documents for accuracy.
  • Maintains integrity of foreign distribution account balances by coordinating financial activity of account with Finance Department including monthly reconciliations.
  • Assists in setup and maintenance of item master database for inventory and other items.
  • General administrative responsibilities including but not limited to; filing, scheduling, organizing documents.
Qualifications and Skills
  •   Confidentiality of all company information is critical for this position.
  •   High School diploma or equivalent.
  • Minimum 4 years of International Business or Distributor experience.
  • Minimum 2-years’ experience to include preparation and posting accounting transactions.
  • Experience with communicating with manufacturers and foreign distributors.
  • Purchasing or procurement background preferred.
  • Intermediate MS Word and Excel in a Windows environment, MAC environment is a plus.
  • Knowledge of SQL Time helpful, but not required.
  • Advanced written and verbal communication skills.
  • Strong organization, multitasking, and time management skills.
  •   Must be detail oriented and work at a very high level of accuracy.
